Red Pine Exploration is a junior gold exploration company listed on the TSX-V that is currently exploring and developing the Wawa Gold Project located 2 km east of the town of Wawa, Ontario.
Position Overview
We are seeking a dynamic and detail-oriented individual to join our team as an Executive Assistant and HR Manager, reporting directly to the CEO. This dual-role position combines executive-level support with strategic and operational HR responsibilities, ensuring the seamless functioning of the office and fostering an exceptional organizational culture.
Role & Responsibilities
Executive Assistant (EA)
The Executive Assistant will provide comprehensive administrative support, manage logistics, and ensure efficient office operations while handling confidential matters.
Office Management
• Oversee day-to-day office operations, including office management and office supply procurement.
• Plan and coordinate meetings, events, and conferences, while managing all logistics and preparing necessary materials.
• Develop and implement office policies and procedures to improve efficiency.
• Act as the primary point of contact for office vendors.
• Coordinate with facilities management on repairs, maintenance, and other building-related issues.
Travel
• Manage domestic and international travel arrangements for senior management, including flights, accommodations, and itineraries.
• Ensure all travel complies with company policies and is cost-effective.
Credit Card Administration
• Oversee and manage corporate credit card accounts, including reconciliations and expense reporting.
• Consolidate credit card statements and ensure timely processing of payments.
Budgeting and Financial Oversight
• Reconcile company credit card statements, oversee the office budget, and track expenses.
Managing Events
• Plan and coordinate executive meetings, conferences, and special events, managing all logistics, including venue selection, catering, and technology setup.
• Prepare detailed schedules and ensure seamless execution of events, including overseeing vendors and managing on-site support.
HR Manager
Deliver effective day-to-day Human Resource services in the following areas by providing expertise, guidance, oversight, and implementation, of Human Resources programs, policies, practices, systems, and services.
Recruitment
• Collaborate with managers to identify staffing needs and develop job descriptions.
• Manage the full-cycle recruitment process, including posting job openings, screening resumes and coordinating interviews.
• Support onboarding and offboarding processes for new hires and departing employees.
Workflow Improvement
• Implement strategies to enhance employee engagement, performance, and retention.
• Assess and improve organizational structure to align with business goals.
• Analyze and optimize HR workflows and processes for efficiency.
• Introduce tools and technologies to streamline HR operations.
Reporting
• Prepare HR reports to ensure accuracy and timeliness, providing detailed summaries to senior management as needed.
• Assist in tracking workforce metrics and reporting on a regular basis.
• Collaborate with departments to gather necessary data and ensure consistency across all reporting.
Administrative
• Maintain and update employee records, ensuring accuracy and confidentiality.
• Assist in administration of employee benefits programs and answer employee inquires regarding benefits.
• Regularly update and maintain organizational charts to reflect changes in structure, roles, and reporting lines.
• Handle general HR administrative tasks.
Programs
• Assist with launch and maintenance of several key HR programs.
• Create and implement employee development programs to enhance skills, performance, and career growth.
• Lead initiatives to promote workplace wellness, employee recognition, incentive programs, etc…
Policies
• Own and implement up to date policies and guidelines for employees; create new policies as required.
• Develop, update, and enforce company policies and HR programs.
Qualifications & Skills
• Proven experience in both executive support and Human Resource management.
• Strong project management skills and execution skills to ensure successful delivery/implementation of HR projects, processes, and policies.
• Skilled in building relationships and engaging with individuals at all organizational levels.
• Exceptional organizational and time-management skills.
• Strong communication and interpersonal abilities.
• Proficiency in Microsoft Office Suite.
• Ability to manage sensitive information with the utmost confidentiality.
• Ideally worked in a mining environment or similar type business.
Education & Experience
• Bachelor’s degree in Human Resources, Business Administration, or a related field.
• Minimum of 8-10 years of experience in a dual EA/HR role or similar positions.
